Rule Change: Electronic Communications & Business

As a homeowner within a Homeowners Association (HOA), you may have recently received a notice about a proposed rule change that would allow the HOA to communicate with you electronically and conduct business. This change may seem small, but it has the potential to greatly benefit homeowners like you.


The community forum for this rule change will be held on April 5 at 6:30 PM via zoom and at the clubhouse. Immediately following this, the board of directors will vote on the rule change at the monthly board meeting starting at 7:00 PM.


First, let's take a look at what the proposed change entails. Currently, most HOAs communicate with homeowners via traditional mail, such as paper newsletters or mailed notices. While this method can be effective, it can also be slow and costly. The proposed rule change would allow the HOA to communicate with homeowners via email or other electronic means, such as a dedicated online portal as well conduct HOA business through reliable electronic means.


So why is this beneficial to homeowners like you? Here are just a few reasons:


Faster Communication With electronic communication, homeowners can receive updates and notices from the HOA almost instantly. Instead of waiting for a paper notice to arrive in the mail, you could receive important updates and instructions via email or even text message, should we choose to adopt that form as well.

Fraud Protection

When it comes to voting, you can never be too safe. Electronic voting can help prevent fraud in an HOA voting session by providing a secure and transparent voting process. Electronic voting systems can use advanced encryption and authentication methods to ensure that only authorized voters are able to participate in the voting session. The electronic system can also track and record each vote, providing an audit trail that can be used to detect and prevent fraudulent activities. In addition, electronic voting can reduce the risk of ballot tampering or miscounting, as the system can automatically tally the votes and provide accurate and timely results.


In order to further prevent fraud, we have already begun to explore secure third-party options to conduct voting. By outsourcing out voting process to a trusted company, we can ensure that our votes are being counted and recorded properly.


Cost Savings Electronic communication can also save the HOA and its homeowners money. Mailing paper notices and newsletters can be expensive, especially if the HOA has a large number of homeowners. By switching to electronic communication, the HOA can reduce its printing and postage costs, which could ultimately lead to allocating those costs elsewhere.

Increased Participation Electronic communication can also help to increase participation in HOA activities and events. By sending out electronic reminders and updates, more homeowners may be likely to attend meetings, participate in community events, and get involved in the HOA's decision-making process. It also makes voting on matters that require a 75% homeowners vote easier for the community at large.

Greater Convenience Finally, electronic communication is simply more convenient for many homeowners. Instead of having to keep track of paper notices or remember to attend meetings, homeowners can receive updates and reminders right on their smartphones or other electronic devices.


Of course, there may be some concerns about privacy and security when it comes to electronic communication. However, the HOA can take steps to ensure that homeowners' personal information is protected and that electronic communication is secure.

Overall, the proposed rule change to allow electronic communication from the HOA to homeowners is a positive step forward for HOAs and their residents. By embracing new technology and communication methods, HOAs can better serve their homeowners and build stronger, more connected communities.


Why do you need to opt-in?


You may be wondering why you need to opt into this since you are already receiving some things via email from the association. The purpose of this opt-in is a legal matter that allows us to communicate and conduct business in its entirety via electronic communications. Currently, there are things that we cannot do via electronic means until you have opted in.
